How Yard 14 handles information about you.

Who we are
Yard 14 is a trading name of Yard14 Ltd. Company number 17535355, registered in England and Wales. Our office is at 97B Fortess Road, London NW5 1AG.
We decide how the information in this notice is used, which makes us its controller. Write to hello@yard14.com about anything here.
When you visit this site
Our host, Vercel, receives what every website receives, such as your IP address and browser, so it can deliver the pages and keep them secure.
We count visits and measure loading speed with Vercel’s analytics, which set no cookies and record nothing that identifies you.
The site sets no cookies of its own. It keeps a few small notes in your browser so its opening animations play once a visit, and they clear when you close the tab.
When you write to us
We use your name, email address and what you tell us to reply and, if we work together, to run the work. Our email is hosted by Microsoft.
When we send you a proposal
Each proposal is a link made for one person, at proposals.yard14.com. We see when it is opened, how long each part is read, the kind of device used and any answers you give, so we know when to follow up and what to explain. A scrambled copy of your IP address tells one visit from another.
A cookie remembers the device you read on, so the link keeps opening for you, and lasts up to 400 days. On a new device the link asks for an email address and sends a code to it, so it stays private.
You can share a proposal with a colleague from inside it. We then email them a link of their own and note who shared it. A company can also have one link for its own people: anyone with a work email address there enters it and receives a code. If you ask, we can leave your link open, so whoever you pass it to can read it without a code; we still see each visit.
To make sharing easy, we may prepare a list of the people at the company we are writing to: their names, job titles, work email addresses and, where the company publishes one, their photo, from public sources such as Companies House and the company’s own website, and from Hunter and Apollo, databases of business contact details. Only that company’s own readers see the list, on their own devices.
A company’s people can also ask for features from inside a proposal. A request keeps the name, job title and photo of whoever made it, their words and any pictures they add, who else wants it, and our reply. Only that company’s own people and Yard 14 see them.
When we ask you to sign a document on its own link, we keep the signed copy, your signature, the time, the kind of device and a scrambled copy of your IP address, as the record of the signing.
If you accept, we keep your name, role, email address, company, the time, your IP address and a fingerprint of the document, as the record of what was agreed.
When we send you a contract to sign, it comes on a link made for you, also at proposals.yard14.com, from Yard 14 or one of the businesses we run it for, such as Load Marshal or Layer Eight. We see when it is opened and whether it is read to the end, so we know when to follow up. To sign, you enter a code we email to you, then draw or type your signature. We keep the signed copy, your name, role, email address, company, the time, your IP address, the kind of device and a fingerprint of the document, as the record of the signing. If you decline, we keep your reason.
Clients and suppliers
We keep the contact details, agreements, invoices and payments of the businesses we work with, to deliver the work and to keep the accounts the law requires.
To prepare proposals and agreements, we look up public information about companies, for example at Companies House and on their own websites, and the work contact details of people at them, through Hunter.
Work we do for clients
When we build or run something for a client, such as an app, a website or an outreach campaign, we handle information on that client’s instructions, and the client’s own privacy notice applies. If a client of ours contacted you through something we run, ask them, or write to us and we will pass your message on.
Our own accounts
Our books are kept in FreeAgent, an accounting service. Our own app connects to it through FreeAgent’s official connection. It reaches our company’s records only, its keys stay on our own computers, and what it reads is used only to keep our accounts and our invoices to the businesses we work with.
Who else sees it
Only the providers that run our work: Vercel and Supabase host and store our sites, Microsoft runs our email and calendar, Hunter and Apollo help us find work email addresses, Anthropic’s Claude helps us write and organise our work, FreeAgent holds our accounts and invoices, and our accountant keeps our books. We also share information where the law requires it, for example with HMRC.
A signed contract and its record of the signing go to every party to it. A contract we send for Layer Eight, a trading name of Revoh Ltd, we run on its behalf, and Layer Eight sees it too.
We never sell information about you, and never use it for advertising.
Some of these providers are based in, or reach information from, the United States. Those transfers are covered by the UK’s data bridge with the US or by contract terms the UK approves for them.
Why we are allowed to
- To do work you have asked for, or to prepare it: our contract with you.
- To keep accounts and records: the law requires it.
- To run and secure the site, reply to you, follow up proposals, help you share them with colleagues and look up companies and the people at them: our legitimate interest in running the business, weighed against yours.
How long we keep it
- Reading records on a proposal: twelve months after it is accepted, declined or expires.
- A company’s list of people, prepared for sharing a proposal: twelve months after its last proposal is accepted, declined or expires.
- Feature requests, their pictures and our replies: while we work with the company, and twelve months after.
- A document signed on its own link: thirty days after it is signed or its link expires, when the signed copy has been passed on.
- Signed agreements: three years after the contract ends.
- Signed contracts and their record of the signing, including when they were opened, whether they were read to the end and the signer’s IP address: six years after the contract ends, the time the law allows for a claim under a contract.
- Contracts not signed, declined or withdrawn, with any reason given: twelve months after their link expires, or after they are declined or withdrawn.
- Invoices and accounts: six years after the end of the financial year they belong to, as tax law requires.
- Other emails and contact details: up to two years after we were last in touch.
Your rights
You can ask for a copy of what we hold about you, and ask us to correct it, delete it, limit how we use it, or pass it to you or another business in a common format. You can object to any use that rests on our interests, and we will stop contacting you whenever you ask.
Write to hello@yard14.com and we will reply within one month.
If you are unhappy with how we have handled your information, tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
When the way we handle information changes, we update this page and the date at the top.
